ScopeMark: frequently asked questions

Short answers to what people ask most about ScopeMark: how it works with an RFP, how to sub out a project, how the AI is used, how invoices and ERP sync work, and where it is available.

The basics

What is ScopeMark?

ScopeMark is a software platform for Canadian construction and trades. It takes a project from an RFP (request for proposal) or a job idea to a clear scope of work, verified subcontractors, photo-proven progress and invoices that are raised automatically.

Who is ScopeMark for?

Companies that win, hire and manage trades: general contractors, property managers, facilities teams, security and life-safety firms, and owners. Their subcontractors take part by invitation. Owners, estimators, project managers and office admins each see what their role needs.

Is ScopeMark a marketplace or a directory?

No. There is no open job board and no lead selling. A subcontractor sees a company's work only after that company invites them and they accept. ScopeMark sits inside the workflow instead of beside it.

Where is ScopeMark available?

ScopeMark is built for Canada today: Canadian provinces, GST/HST and Canadian compliance documents such as WSIB in Ontario and CNESST in Quebec. More regions are on the way.

How much does ScopeMark cost?

ScopeMark is sold to companies as a monthly subscription, with plans matched to team size and the AI features a company needs. Ask us about the plan that fits your team.

RFPs

How does ScopeMark work with an RFP?

You upload the RFP documents and ScopeMark's AI produces a first-pass draft: scope and quantities, key terms, requirements, eligibility against your company profile, gaps, risks, schedule and trade packages. Every finding points to the document and page it came from, and a person reviews it before anything is used.

Can ScopeMark price an RFP?

It does not invent prices. It reads what the documents say, such as quantities, and your estimator prices from your own price book. Margins stay private to owners and project managers, and the owner-facing quote has no field for cost or margin.

How accurate is the AI RFP analysis?

It is a draft for a human, not an answer. Every finding cites a page, quotes are checked against the PDF's own text, and anything that cannot be verified is shown as unknown. ScopeMark measures accuracy against scored answer keys and does not publish a figure until enough real projects have been scored.

What happens when an addendum changes the RFP?

ScopeMark reads the addendum on its own and updates the existing analysis without deleting anything. Changed items are flagged with the addendum's name, changed quantities are listed on the estimate, and bid-checklist items that no longer match are reopened.

Can ScopeMark count devices from drawings?

A person draws a box around one symbol and ScopeMark finds matching symbols on the sheet using image matching, not AI. The estimator removes wrong matches, adds missed ones and saves. The total is offered to the estimate and never applied automatically.

Subbing out work

How do I sub out a project with ScopeMark?

Describe the job, or start from an RFP trade package. ScopeMark drafts the scope, you choose which of your invited subcontractors can see it, you collect bids and compare them like for like, you award the work, and you track it by milestones with photo proof until the final invoice.

How does ScopeMark verify subcontractors?

It checks that uploaded documents, such as insurance, WSIB or WCB clearance, CNESST and trade licences, are authentic and current. That is called ScopeMark Verified. Each company then decides whether a document meets its own bar for its own sites, which is called Company Approved. The two are kept separate on purpose.

Can I compare bids from different subcontractors fairly?

Yes. Bid leveling lays the bids side by side on one checklist (included, excluded, not stated) and lets the estimator add an allowance for each gap. AI can suggest a status, but only with a quote from the bid's own notes, and the estimator decides every cell.

What do subcontractors need to do?

Accept the invitation, upload their documents, bid, and submit milestones with photos from the mobile app. They see only the companies that invited them.

AI and trust

Does the AI decide project risk?

No. The risk level, score and forecast come from rules in the database. The AI model only writes the plain-English summary and suggested actions, and if it fails the rules-only assessment is still saved.

What can the AI chat see?

Only what the person asking can see. Every answer is read with that person's own access, and the chat is read-only: it cannot change, send or approve anything.

Money and integrations

Does ScopeMark hold or move our money?

No. ScopeMark does not process payments between companies and subcontractors. The buyer pays directly, outside ScopeMark, and records the payment. ScopeMark's only revenue is its subscription.

Does confirming a milestone release payment?

No. Confirming a milestone means the work was verified. It automatically raises one invoice for that milestone, and the buyer pays off-platform.

Does ScopeMark connect to our ERP or accounting system?

ScopeMark has a REST API with a company-scoped key. An ERP or accounting system that can call a REST API can pull invoices and report payments back, matched on the ERP's own bill ID. Setup is offered as a quoted add-on.

Compared with other systems

How is ScopeMark different from Procore, Autodesk Construction Cloud or ConstructConnect?

Those are large, mature platforms covering broad project, cost or preconstruction needs. ScopeMark is narrower and starts earlier: it reads the RFP itself, drafts the scope, runs an invite-only subcontractor roster and proves the work, built for Canadian trades and without moving money. Many companies would use it alongside a larger system.
