ScopeMark for general contractors: from the RFP to the last invoice
ScopeMark connects the whole chain for a general contractor: the RFP, the scope you send each trade, the bids, the proof of progress and the invoices. People make every decision, and ScopeMark moves no money.
The short version
A general contractor wins work, prices it, hires trades, watches progress and gets paid for it, and most of that happens across email, spreadsheets and PDFs. ScopeMark keeps the chain connected, from the RFP documents to the scope you send each trade, the bids that come back, the proof of progress and the invoices. People make every decision. ScopeMark drafts, tracks and records.
How a job runs in ScopeMark
- 1
Read the RFP
Upload the specifications, drawings, bid instructions and addenda. The AI drafts an overview, scope and quantities, requirements, eligibility against your company profile, gaps, risks, the schedule and trade packages, with a document and page on every finding. See from RFP to project and how to review a tender.
- 2
Decide whether to bid
Each RFP has a stage, a recorded reason for the decision and a bid checklist for bonds, insurance, forms and addenda. See bid or no-bid.
- 3
- 4
Price it and send the quote
Estimators count devices from plans (the computer finds matches and a person confirms), build the estimate from your price book and export a quote. Costs and margins are visible only to owners and project managers, and the client-facing quote has no field for either.
- 5
Write each trade's scope and invite the subs
Send every trade a clear scope of work. Work goes only to subcontractors you have invited and who accepted. See the onboarding checklist.
- 6
Compare the bids like for like
Bids sit side by side with what each includes and excludes, and the estimator sets every cell and every allowance. See bid leveling.
- 7
Run the job with proof
Milestones carry dated photos and the company confirms or disputes each one. Tasks sit under milestones, crews log their days and check in on site, and project risk is decided by rules, with the AI only explaining it.
- 8
Handle changes properly
A change order adds the milestone, the cost and the days in one step. See change orders and scope creep.
- 9
Get the invoices, pay directly
Confirming a milestone raises that subcontractor's invoice automatically. You pay them yourself and record the payment. An ERP can pull invoices and report payment back through a company-scoped API key.
Who on your team sees what
| Role | What they do in ScopeMark |
|---|---|
| Owner | Everything, including billing, estimating, margins and the decisions: bid or no-bid, award and confirming milestones. |
| Project manager | Runs projects and bids, makes the same decisions on the work, and sees estimating. Does not manage billing. |
| Office admin | Works the paperwork: invoices owed and recording payments, compliance documents, the bid checklist and the RFI log. Sees no estimating or margins, and looks at bids and milestones without deciding. |
| Field staff | Sees the jobs and tasks assigned to them, checks in on site, writes the daily log and submits milestone photos. Their phone shows no money. |
What ScopeMark does not do
- It moves no money. You pay your subcontractors directly. ScopeMark's only revenue is the subscription.
- It does not price or give legal advice. Contract and legal items are flagged for your counsel.
- It submits nothing. A person sends every bid, question and reply.
- It does not approve subcontractors for you. It checks that a document is authentic and current. You decide whether it is acceptable for your sites, and a company's description of itself is self-declared and not checked.

Questions people ask
What does ScopeMark do for a general contractor?
It reads RFP documents into a first-pass draft with page citations, tracks questions, addenda and the bid checklist, helps price and quote, sends scopes to the subcontractors you invite, lays their bids side by side, tracks milestones with photos and raises an invoice when a milestone is confirmed.
Do my subcontractors have to pay to use it?
No. Subcontractors use ScopeMark free, by invitation from a company they work with. A subcontractor who wants the web dashboard to manage their own projects can take the Provider Pro plan.
Which plan includes the RFP analysis?
RFP analysis is part of the Enterprise plan. Check the plans in the app for what each includes.
Can my accounting or ERP system connect?
ScopeMark has a REST API with a company-scoped key, so an ERP or accounting system can pull invoices and report payment back.
Is the AI output final?
No. The AI writes a first pass for a person to review. It shows its sources, labels what it cannot verify as unknown, does not price and does not give legal advice.
Does ScopeMark hold or move our money?
No. ScopeMark does not process payments between companies and subcontractors. The buyer pays directly, outside ScopeMark, and records the payment. ScopeMark's only revenue is its subscription.
